The public inquiry form collects the information you enter: your name, email address, an optional WhatsApp number, university, city of study, the country you are travelling from, your study intake, an approximate arrival date and time, the approximate number of bags you will travel with, your accommodation area or postcode, your preferred contact method, your preferred language, what you would like help with, and any comments you write. You provide this information voluntarily; only your name, email address, preferred contact method and the Privacy Policy acknowledgement are required. Your WhatsApp number is required only if you choose WhatsApp (or both WhatsApp and email) as your preferred contact method; students who choose email do not need to provide one. The Privacy Policy checkbox records your acknowledgement that you have read this policy; the acknowledgement itself is submitted with the form but is never stored in your browser.
The unlisted booking-details form, which is sent to you only after availability and the service have been discussed, may additionally collect: your confirmed arrival date and landing time, airline, flight number and terminal, your cabin-bag and checked-bag quantities and whether any bag is unusually heavy, your exact accommodation address, an optional emergency contact, the agreed meeting details for Day 1, and any relevant comments. Your exact accommodation address and any emergency-contact information are used only for coordinating the agreed arrival service.
If you open the website through a link shared by a university or a specific campaign, the inquiry form also records where the link came from (a referral source and, where applicable, a campaign name). This tells us only which link you used. It contains no personal information about you, and it does not mean the university sent us any of your data.
Our hosting provider (Vercel, or a comparable website host) automatically processes technical data such as your IP address in server logs in order to deliver the website securely.
Each category of information serves the arrival service you request:
Depending on the stage of the inquiry or booking, personal data may be processed to respond to your request, take steps before entering into a service agreement, deliver an agreed service, meet legal obligations, or where applicable based on consent.
Your data is never sold or shared with universities or other organisations for their own marketing purposes. Selected service providers process limited data on behalf of B.O.B where necessary to operate the website, deliver form submissions and communicate about the requested service.
Both forms are delivered by Formspree, Inc. (USA), which transmits your submission to us by email and may briefly store it to provide that service. Different Formspree forms may be used for initial inquiries and for confirmed booking details. Formspree may also be used to send you an automatic confirmation that your submission arrived. You can read Formspree's own privacy policy at formspree.io/legal/privacy-policy.
While you fill in either form, your unfinished entries are stored temporarily in your own browser (sessionStorage) so they are not lost if the page reloads. This draft never leaves your device, is not sent to us, and is deleted automatically when you close the browser tab. Your Privacy Policy acknowledgement is never stored. The website does not use cookies, analytics, tracking pixels or external fonts.
Using WhatsApp is optional. A WhatsApp number is required only if you choose WhatsApp, or both WhatsApp and email, as your preferred contact method. WhatsApp is used only in those cases, or when you contact B.O.B on WhatsApp yourself. If you choose email only, WhatsApp is not used.
If you choose WhatsApp, your phone number and the messages we exchange are processed through WhatsApp, which operates under its own privacy terms (see WhatsApp's privacy policy). B.O.B uses WhatsApp only to communicate with you about the requested service.
If you choose email, or if you contact us by email directly, your email address and the content of our correspondence are processed by the email providers involved in delivering the messages. Email is used only to communicate with you about your inquiry and the requested service.
Some of the service providers named above may process data outside Germany or the European Economic Area. For example, Formspree is based in the USA, and WhatsApp is operated by a company group with locations outside the EEA. Where that happens, the providers state that they apply safeguards under their own privacy terms. If you prefer to avoid this, you can contact us by email instead of using the form or WhatsApp.
Your information is kept only for as long as necessary to respond to your inquiry, coordinate and deliver the requested service, unless legal retention obligations require otherwise. After that it is deleted. Detailed arrival information from the booking-details form, including any exact address and emergency contact, is used only for the agreed arrival and deleted once it is no longer needed.
Universities do not send us any student data. Every conversation with B.O.B begins because you chose to contact us yourself.
